We helped Wolters Kluwer Italia – OA SISTEMI in designing NotaioNext. The platform is the result of painstaking research, analysis and development work, which brought together different professionals organized in three teams, for a total of more than 100,000 hours of work.

During the two years of work, we joined the product owners in designing the different areas, supporting the three development teams throughout the entire project cycle.

Wolter Kluwer Italia OA SISTEMI, a story of innovation

OA SISTEMI, a company specializing in IT solutions for the legal market, is a leading brand in Italy in the automation of notary offices. Ease of use, freedom of choice and the ability to innovate have always been the pillars of its philosophy. A history that has its roots in the 1980s with the production of Sinot, followed in the 1990s by Notaro Dos and Notaro 98, the first management software running on a Windows platform: an absolute novelty that allowed the company to become a benchmark in the sector.

Joining Wolters Kluwer Italia in 2000 provided a further productive boost for the company, which, armed with new energy, released Suite Notaro software in 2005, equipped with new modules and features. Six years later it is time for Suite Notaro SaaS, a new version of the software, designed with Cloud technology. 2018 marks a turning point for OA SISTEMI, which with NotaroNext opens a new chapter in its history of innovation.

NotaioNext: starting with notaries and their clients

NotaioNext was conceived not only starting with the notaries, but also with their end-clients, with the aim of guaranteeing them high-quality experiences able to translate the goal of customer satisfaction into a success factor for the notary offices that choose to rely on OA SISTEMI. For this reason, interview and field research activities in notary firms served to gather the needs and outline the journeys of both notaries and their clients. Improving performance metrics related to the main activities that emerged from the research phase was one of the points on which the design of the information architecture and wireframes was focused.

A fully revamped interface, integrated chatbot and artificial intelligence.

The user interface was designed for cross-device use, adapting to desktops, tablets, and smartphones. Its implementation was guided by direct feedback from notaries, with a focus on improving the performance of specific activities and facilitating collaboration among various stakeholders in the office.

Managing the workflow of a dossier, which includes all activities preceding and following the execution of a notary deed, was one of the main challenges for our designers. Artificial intelligence played an instrumental role in improving the post-stipulation phase: thanks to EDI, the notary can extract directly from the deed the data needed to compile the fulfillments.

With regard to this process, our designers projected every single step of EDI, from the document import phase to the visualization and use of the extracted variables. To facilitate mobile work experiences, a chatbot was developed that, through voice commands, significantly optimized access to the content of some areas of NotaioNext.

Branding

The design of the look&feel was part of a wider rebranding process led by our team, which was able to involve the marketing and research and development departments in a convergent way. The branding work led to a complete redefinition of the visual identity of the product and its touchpoints, starting with the name: NotaioNext. More than 300 icons were created for NotaioNext, most of them related to specific semantic domains of the notary profession.
